Salary: £22,816-£24,336 per annum

Main duties of the job

To develop, implement and maintain administrative systems, including effective and up to date filing, tracking systems, data gathering and evidence files.

To undertake word processing of letters, reports and other documents and information, using  Microsoft Word, PowerPoint, Excel and other IT programmes as required.

To work effectively with colleagues, internally and externally to the organisation, to ensure the dissemination of information which is of a highly sensitive and restrictive nature, pertaining to vulnerable adults, children, young people and their families.

To take accurate telephone messages and relay them, as required depending on their urgency, to the appropriate member of staff.

To respond to and disseminate information in an appropriate and timely manner.

To photocopy and distribute documents as required.

To undertake minute taking tasks for team meetings as required.

Detailed job description and main responsibilities

In addition the post holder is to provide short term cover for colleagues during periods of leave.

To ensure that all Trust standards are maintained and monitored to improve the quality of care to all whom come into contact with services
provided by George Eliot Hospital NHS Trust.

Experience and knowledge

Essential criteria
  • Must have a minimum of 2 years office experience
  • Experience of working with databases
Desirable criteria
  • Recent experience of Governance processes
  • Must have working knowledge of Microsoft Office packages
  • Knowledge of Trust IT systems
  • Experience of Multi Agency working

Qualifications and professional training

Essential criteria
  • Must possess GCSE A-C English and Maths
  • To have completed or working towards the European Computer Driving Licence (ECDL) or equivalent
  • NVQ Level 3 in Business administration or equivalent

Skills and abilities

Essential criteria
  • Must be able to communicate at all levels: verbally, electronically with a variety of professionals and other agencies
  • Must be able to demonstrate an understanding of confidentiality in all aspects of work and the handling of sensitive information
  • Must be able to or willing to train to take minutes of meetings
  • Must be able to demonstrate an understanding of equal opportunities
Desirable criteria
  • Must have a good working knowledge of MS Office Systems
